Notification types
Email notifications is the main switch. When it is off, Mailink does not send you activity emails for the categories below.
When email notifications are on, you can refine the following:
- Project updates — Notifies you about the project workspace: project name or description changes, team membership (when someone joins, is removed, or their role changes), and categories (created, updated, or deleted). Sending a pending invitation does not send a project activity email to the team (the invitee still gets the invitation email). When an invitation is accepted, project activity can notify other team members. Task edits and deletion use the Task updates category below (task creation does not send email), so you can turn project and task emails on or off independently.
- Task assignments — Notifies you when someone assigns a task to you.
- Task updates — Notifies you when someone changes or deletes a task where you are the assignee or a watcher (fields, status, etc.). Mailink does not send email when a task is only created. Separate from assignment alerts so you can subscribe to one without the other.
- Overdue task reminders — Sends a daily digest email listing tasks with a due date in the past that are not completed or archived. This includes overdue tasks assigned to you and overdue tasks in projects where you are an admin. Tasks with no assignee are not included. This is separate from Task updates (which fire when someone edits a task).
Who receives emails
Mailink sends activity emails to the email address on your profile. You need a valid email on your account for delivery.
| Category | Who can get an email |
|---|---|
| Project updates | The project owner and team members who have email notifications and Project updates enabled. For most events, everyone eligible may receive the update. When someone joins the project, the activity email goes to other members (the new member still gets invitation and welcome emails separately). |
| Task assignments | Only the user assigned to the task, when Task assignments (and the main email switch) are on. |
| Task updates | For edits: the task creator, assignee, who assigned it (if recorded), and watchers. For deletion: the assignee and watchers only. Each person must have Task updates and the main email switch enabled. |
| Overdue task reminders | The assignee and project admins for projects with overdue assigned tasks, when Overdue task reminders and the main email switch are on. Tasks without an assignee are not included. If you have many overdue tasks, the email may list up to a capped number and prompt you to open Mailink for the rest. |
When emails are sent
- Project updates — After project or workspace events (for example project details changed, someone joined or left the team, roles changed, or categories changed)—not for individual task edits; those fall under Task updates.
- Task assignments — When a task is assigned to you.
- Task updates — When a task you follow is updated (for example status or other field changes), or when it is deleted and you are the assignee or a watcher. Task creation does not trigger these emails.
- Overdue task reminders — On a fixed daily schedule (UTC). The digest reflects tasks that are overdue at run time; it is not tied to your local time zone. One digest per day when you have qualifying tasks.
Timing follows when the action completes in Mailink; delivery can take a short time depending on email providers.
Activity email on the web
On the Mailink website, the notifications described above are sent to the email address on your profile when the main Email notifications switch and the relevant type are turned on. This page only covers email from these settings.
Other emails (not these toggles)
Some messages are transactional or system-driven and are not turned off by the switches above, for example:
- Team invitations and invitation-related messages
- Security or sign-in related emails from your identity provider
- Billing or subscription messages from payment providers
